QUICK IMPORTANT NOTES REGARDING WINERIES (NO TOUR CO EXPLAINS)

Covid-19 will impact the following - contact us with any questions

1.NO RESERVED or guaranteed SEATING UNLESS specified.

2. NO RESERVED SEATING = All Economical or Lively "Party-Type" Wineries

3. RESERVED SEATING = Approximately 30 out of 45+ Wineries/Venues

4. INSIDE RESERVED SEATING (Rain) -Guaranteed = 18-20 out of those 35 Wineries (as per bullet #3             
                                                                         above)

5. FOOD POLICY= ONLY (8) of 50+ Wineries/Venues Permit Boxed or Your Own Lunch.

6. INSIDE FOOD POLICY = ONLY (3) Wineries/Venues Permit Boxed or Your Own Lunch INSIDE.
                                                  Those (3) Wineries are Lower Mid Range Wineries

7. ENTERTAINMENT-Weekends Only-Approx 10-12 Venues- of which 3-4 are Bands with 2-3 Musicians.

8. HAMPTON TOURS – NO Party Wineries (3) – Boxed Lunch or Your own food permitted
outside only at (1) winery (Duckwalk South) in the Hamptons. No Reserved Seating at Duckwalk.


RESERVATION POLICY (for both North Fork and Hampton Wineries)

1. Wine Tours are “live” on days of Rain; except for Super Storms. Any Super storm or snow storm
whereby vineyard operations or travel conditions are a cause to cancel, your deposit shall be refunded.

2. A Major Credit Card on file whether or not Tour is paid via Cash, Corp Check,
Gift Certificate or Credit Card.

3. A minimum of 10% non refundable down payment via Credit Card (15-20% for Buses)

4. Initial reservation form shall be sent via Adobe E-Signature for Signing.

5. The remainder of the tour payment shall be paid in CASH on day of wine Tour,
unless, other payment option has been specified. No exceptions or requests (7) days in advance.

6. Once down payment is received and e-signature is on file, a Lunch order form shall
be emailed (If Boxed Lunch Option is Chosen).

7. All Wineries are reserved and will be paid if customer is late or decides to skip
a winery that day.

8. Most Wineries Require payment (Except Minors)from ALL guests arriving in for-hire
vehicles; Tasting or NOT.- Especially Weekends.

9. If a Credit Card, Gift Certificate or Check (Corporate outing) is the mutually agreed
method of payment for the tour, then further instructions would be given.

10. The Credit Card payment option will be limited to “1” Credit Card per Tour.
Corporate Bus Tours can be paid via corporate check or in some cases a credit Card, in advance.

PAYMENT TYPE:
Payment type is clearly marked/ quoted and the agreed upon method at time of Booking.
NOT permitted to change after down payment has been made; as CASH is a discounted Option.
Your Reservation form will indicate payment type for your tour.
Your Reservation form will mirror the agreed upon price thru email quotes. And ANY venues that require a client to pay them directly will be clearly noted and deducted on our reservation form – so to reflect the monies owed to our company upon tour date.
Our regular pricing thru Credit Card / Check or Gift Certificate Options does NOT have a service fee included.
Our regular pricing has Overheads and Profits strictly pertaining to any cash layouts “on our behalf” at the wineries, lunch or other venues. We have profits on all these items regardless and then New York State and Local taxes when a “taxable vehicle” is reserved. A “bus plated” vehicle is not a taxable vehicle. Should you pay for the tour in Cash, the profits are eliminated to create a discount to our clients.
So, if the client pays the winery direct in cash on day of tour or if the client provides the cash on the day of the tour to the driver, the cost will be the same. It is MUCH more efficient to provide the cash balance to the driver, and the driver thus pays for the group at each venue and you will save approximately 12 - 15 minutes at each winery. Now you save money and time. Winning Combination.


CANCELLATION POLICIES:
Cancellation polices may apply. These polices will apply to vehicle as well as Wineries.
Most wineries that require “pre-payment” direct by the client will provide cancellation policies
Wine Tours are “live” on days of Rain; except for Super Storms
Any Super Storms where the venues shut down, your DEPOSIT SHALL BE REIMBURSED **

Any fault of ours that prevent your group from reaching reserved venues, any monies paid by client to

our company, shall be reimbursed. **

STEP BY STEP RESERVATION PROCESS:
WE WILL PROVIDE:
A detailed - yet Clear & Concise PDF formatted Reservation Form with Terms link.
The reservation times and depart times for each stop.
The wineries on your tour who have reserved seating/In/Outside
The wineries on your tour where lunch can be eaten.
The venues indicating whether or not a group gratuity is included.
Those wineries that may require client interaction or payment direct by client, etc
The step by step instructions should client interaction or direct payment be required.
Deducting the quoted costs for those venues which may be paid directly by the client.


LUNCH / FOOD OPTIONS – RULES:
Will provide Boxed Lunch Order form POST E-Signature and Deposit requirements.

ALL REFUSE FROM BOXED LUNCHES OR YOUR OWN FOOD :
Must be placed back in bags and RETURNED TO the Vehicle.
It is FORBIDDEN to Dump Leftovers/garbage/Refuse into Dumpsters or Containers at MOST Wineries.
This is why there are ONLY (8) wineries out of 40 that allow Lunch (whether our supplied Boxed Lunches or Your Own Food) and ONLY (3) Wineries that allow Food INSIDE their Tasting Rooms with Reserved Seating

Fact: (6) years ago there were over 50% of wineries allowing Lunch and (9) years ago 75% -
Now only 15% allow this courtesy.

Note: If you purchase from a Food Truck, Yes, you are permitted dispose at that winery.

FOOD TRUCKS WARNING: as of  Summer 2018, The Southold Town Board has officially notified local wineries that food trucks are not a permitted use within the town code. This affects 75% of the wineries

CANCELLATION POLICIES MAY APPLY
Select wineries will request payment upon a cancellation of a group or as individual up to (7) days prior to the wine tour date. Certain wineries which offer a tour or a wine tasting combination with Cheese / Chocolate / Breakfast Pairing / and other specialties will indicate to the client the terms prior to booking a reservation. We will indicate the wineries should they be part of your tour.

Cancellation Policy -

within 7  days - WILL BE 100% CHARGE OF REMAINING CONTRACT VALUE FOR VEHICLES WITH OCCUPANCY OF UP TO 12 PASSENGERS

within 14 days WILL BE 100% CHARGE OF REMAINING CONTRACT VALUE FOR VEHICLES WITH OCCUPANCY OF 13 PLUS PASSENGERS.

 Certain wineries will charge a cancellation Fee if the Tour Cancelled within (7) days of the reserved date; Client shall be made aware if these wineries are in their reservation at the time of booking. Certain Wineries require a separate form to be completed by client along with their own terms / payment /cancellation policy.

There will be no refund for having less people on the day of the tour (Including 5 Days Prior to tour date) than what was originally contracted for. Optional lunches are ordered 5 days prior to the wine tour date; where by we require the client's Lunch selection at least 5-7 days in advance. Reservations are "set" and distributed 96 hours prior to the wine tour date.

Should the client “you” choose a winery that requires a separate form to be completed, possibly for down payment (25, 50 or 100%), minimum # of people in the group, Credit card information, etc; the “client” must contact the winery direct should the number of people in your group change. If not, the “select” winery will charge you in “full” should your group size decline or below the minimum. We (East End Wine Tasting Tours – Roadmaster Limousine) shall not be liable for payment to a “select” winery if your group size falls below the agreement you “the client” signed with the “select” winery. If you “the client” contacts us better than 72 hours prior to a scheduled Tour, we will be proactive and assist/reach out to you "the client" to remind you as well where/if we can communicate via email with the impacted winery.

Should we, the wine tour company, be able to reimburse an individual(s) who cancel up to 72 hours prior to the wine tour reservation date, with wineries who agree NOT to charge for those reservation spots, we then will either reimburse via “check” to the group leader of the tour the following week.
